HOW LONG DO WE KEEP YOUR INFORMATION FOR?
for Purposes of the business and accounting. this length of time will be determined by legislation. Rebecca Hadley Photography stores your personal information under full security and retains said details of your personal data for as long as necessary to complete your requirements. All personal data will be deleted six years after completion of your photography needs due to the obligatory requirements of my HMRC tax records. Clients of Rebecca Hadley Photography retain the rights for your personal data to be deleted before this point which can be exercised by submitting a formal request for deletion via email to rjhphotography@outlook.com
PHOTOGRAPHIC INFORMATION
GDPR legislation states that a photograph may contain some form of personal data where they can be processed to allow “the unique identification or authentication of a natural person”. Rebecca Hadley Photography will not photograph an individual as a means of unique identification or authentication unless contracted to do so. In regards to Guests at events, where Rebecca Hadley Photography has been hired to capture photographs may appear in photos taken by Rebecca Hadley Photography, this is done so as a part of the documentation of the event. Clients Guests captured in portraits or in group photos do so as part of the event and their rights are protected by Rebecca Hadley Photography as described in this Privacy Policy.
In terms of explicit GDPR compliance, clients and guests are photographed within the parameters of GDPR legislation on the basis of ‘legitimate interests. The taking of photographs of guests, when viewed as a form of processing personal data, is necessary for the legitimate interests of Heather Photography as a photography business unless there is a good reason to protect a given individual’s personal data which overrides those legitimate interests.
Operating within the parameters of legitimate interests as laid out in GDPR legislation, the disproportionate effort involved in providing Privacy Policy information to all guests at the event and the degree to which it would distract us from performing our job renders it infeasible to do. Booking clients are therefore requested in their contract to direct their guests to read this Privacy Policy in advance of the event and to advise them to contact us in advance with any concerns around the processing of their personal data, namely being photographed.
All images taken by Rebecca Hadley Photography will be stored securely on encrypted hard drives within my password-protected home office computer. the provider will be vetted to ensure they comply with the relevant regulations on data privacy and data security. This entitles producing of printed matter only. The user license specifically excludes the sale of the digital files or items produced from the files for commercial gain, advertising, publicity, or any other commercial use without the written permission of Rebecca Hadley Photography. If permission is required to use any digital files commercially, or for any other use not listed here, or if any doubt exists as to the extent of licensed usage, then please contact Rebecca Hadley Photography.
